Where You’ll Be Working
Avalon Mechanical has offices in Victoria, Nanaimo, and Vancouver. The Victoria office is situated in a LEED green building in Esquimalt, West Vic, with nearby lunch options, shops, large windows, an atrium for natural light, and ample bike rack space for commuters.
The Nanaimo office is in Pacific Station, North Nanaimo. It has an industrial vibe with exposed ceilings, polished concrete, and abundant natural light from floor-to-ceiling windows.
The Vancouver office is in downtown Vancouver, near Canada Place and the waterfront. It offers numerous lunch options, easy access to public transportation and parks, large windows with stunning downtown views, open-concept layouts, meeting spaces, and ergonomic workstations with high-speed connections and modern technology.

The Position
Avalon Mechanical Consultants Ltd. currently has an opening for a full-time Administrative Assistant position in our Victoria office to start immediately. This exciting position is an integral part of the Avalon team, providing general administrative support to our engineering professionals. The role will require a nimble, learning-focused mindset that can adapt to the changing demands of a busy workload. The successful candidate will be positive and engaging with the ability to organize, prioritize, and problem solve with confidence. They will efficiently manage their workload while collaborating with the administrative team.
Compensation and benefits for this position are to be discussed with applicants on an individual basis.
Candidate Requirements:
- Experience in an administrative role in an office environment is a benefit.
- Proficient computer skills, including Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).
- Excellent customer service and relationship building skills.
- Adaptable and flexible with the ability to prioritize work.
- Highly organized and able to manage workflow efficiently and independently.
- Excellent time management, written and verbal communication skills.
- Team player with a positive attitude.
- Willingness to learn and to grow with the company.
- Completion of courses in Business Administration an asset.
Key Job Responsibilities:
- Provide exceptional proactive support to accounts receivable and IT teams.
- All frontline customer service (answer phones, emails, greet walk-in clients).
- Manage mail and courier items – collect, sort, and prepare incoming and outgoing items.
- Act as first point of contact to visitors, answer inquiries, and deliver excellent customer service.
- Write proposals, set-up projects.
- Maintain office supplies, cleanliness, organization.
- Scanning, filing, and maintaining project documentation and records.
